Terms and conditions

1. About Us

1.1 Statement Craft ("we", "us", "our") provides online personal statement tutoring and mentoring services to Year 12 (and equivalent) students preparing UCAS and university applications, including for undergraduate courses in the UK and, where specified, applications to overseas institutions.

1.2 We are a tutoring and mentoring service. We are not affiliated with, endorsed by, or acting on behalf of UCAS, any university, or any admissions body. References to UCAS are made solely to describe the application process our services support.

1.3 Our business details are: Statement Craft Ltd, Office 1240, 60 Tottenham Court Road, Fitzrovia, London, W1T 2EW, Company Number: 17218797.

2. Definitions

  • "Client" means the student receiving tutoring or mentoring services.

  • "Parent" means the parent or legal guardian of a Client who is under the age of 18.

  • "Booking Contact" means the person who books and pays for the Services — this may be the Client (if 18 or over) or a Parent.

  • "Services" means the tutoring, mentoring, feedback, and related support provided by us relating to personal statements and university applications.

  • "Session" means a single scheduled appointment (video call, written feedback exchange, or other agreed format) between a tutor/mentor and the Client.

  • "Materials" means any drafts, notes, worksheets, templates, or other content shared by either party during the Services.

3. Eligibility and Consent for Under-18s

3.1 Many of our Clients are under the age of 18. Where the Client is under 18, a Parent must:

 

  • Complete the booking and accept these Terms on the Client's behalf;

  • Confirm they have parental responsibility for the Client; and

  • Provide any consents required for us to communicate with the Client directly by email or video call.


3.2 We may ask a Parent to be included on introductory or key emails, and we reserve the right to require a Parent's presence at the start of a Client's first Session to confirm identity and consent.


3.3 We are committed to the safety and wellbeing of all Clients. Sessions are conducted professionally and for the stated educational purpose only. Any safeguarding concerns will be handled in accordance with our safeguarding policy, available on request.

4. Our Services

4.1 Depending on the package booked, Services may include: one-to-one video Sessions, written feedback on drafts, structural and content guidance, brainstorming and idea development support, and general guidance on the UCAS application process.


4.2 Statement Craft provides guidance, feedback, and mentoring only. We do not write, substantially rewrite, or ghostwrite any part of a Client's personal statement. The personal statement submitted as part of any university application must be, and must remain, the Client's own original work.


4.3 We may suggest edits, ask questions to prompt reflection, comment on structure, clarity, tone, grammar, and highlight areas that could be strengthened. It remains the Client's responsibility to write and finalise their own statement in their own words.


4.4 The specific content, structure, and number of Sessions included will be confirmed at the time of booking or in a separate service description.

5. Academic Integrity

5.1 UCAS and universities require personal statements to be the applicant's own, original work. Submitting a statement that is not substantially the Client's own work may result in the application being rejected, flagged for similarity by UCAS's plagiarism detection system, or in more serious academic consequences.

5.2 By using our Services, the Booking Contact and Client confirm that they understand and accept that:

  • The final personal statement must be substantially written and owned by the Client;

  • Statement Craft accepts no liability for any consequences arising from a Client submitting content that is not their own original work;

  • We reserve the right to decline to provide further feedback if we reasonably believe a draft has not been substantially written by the Client, or contains plagiarised or AI-generated content presented as the Client's own work.

6. Booking and Payment

6.1 Services are booked and paid for in advance via the online payment system

6.2 Prices for Sessions and packages are as set out on our website or as otherwise communicated at the time of booking and are inclusive of VAT as stated.

6.3 We reserve the right to change our prices at any time. Any change will not affect Services already booked and paid for.

6.4 Package Sessions must be used within 2 months of the date of purchase unless otherwise agreed, after which unused Sessions may expire.

7. Cancellations, Rescheduling and Refunds

7.1 Clients may reschedule a Session by giving at least 24 hours' notice, subject to tutor availability, at no additional cost.
 

7.2 Sessions cancelled or rescheduled with less than 24 hours' notice may be charged in full, except where due to illness or circumstances beyond the Client's reasonable control, considered on a case-by-case basis.
 

Exceptional circumstances are classed as 1 or more of the following:
 

  1. Verified long-term medical conditions or serious illness affecting the patient with evidence provided by a doctor’s letter with official header and stamp;

  2. Bereavement of an immediate family member;

  3. Exceptional safeguarding concerns raised in writing and supported by evidence.

7.3 If we need to cancel or reschedule a Session (for example, due to tutor illness), we will notify the Booking Contact as soon as possible and offer an alternative time or, where this is not possible, a full refund or credit for that Session will be provided.

7.4 Consumer statutory cancellation rights: if you are a consumer based in the UK and have booked our Services online you may have a right to cancel within 14 days under the Consumer Contracts Regulations, unless you have expressly requested that Services begin within that period and we have delivered them, in which case this right may be lost once the Service is partly performed. It will also be subject to the following conditions outlined in Section 7.5.

7.5 Where a package of Sessions has been purchased and the Client wishes to cancel before all Sessions have been used, a refund may be given for unused Sessions only with the following deductions that apply:

1) A £200 fee for an initial consultation if conducted
 

2) A £100 fee for every draft correction or feedback that was used in part from a package (this does not apply to proofreading services)
 

3) An administration fee of £50 to process the cancellation
 

If no part of the service was accessed, the client is entitled to a full refund of the fees that would otherwise be charged with certain exceptions outlined in Section 7.8.
 

7.6 All refund requests must be formally submitted in writing to enquiries@statementcraft.co.uk within the 14-day period. It must include the following details:
 

1) Full name and contact details
 

2) Purchase details and the date of the contract
 

3) Details of the services accessed as well as services outstanding (if applicable)

7.7 Refund timeline: approved refunds under this clause will be processed within 14 business days after confirmation.
 

7.8 Refunds will not be issued in any of the following circumstances:
 

  1. Change in decision or career direction e.g. no longer wanting to apply to medicine, dentistry, veterinary medicine or any university;

  2. Acceptance into, or an offer, from a university course or alternative programme;

  3. Delay in using purchased hours or services, or expiry of hours not scheduled in the agreed timeframe;

  4. Non-completion of a tutoring bundle or service for reasons other than the exceptional circumstances outlined above;

  5. Failure to achieve the grades, qualifications or requirements required for university entry;

  6. Dissatisfaction with the service or quality of the service as a result of the Client failing to prepare the required materials such as drafts, notes or research required prior to a feedback session.

All refund requests must be submitted in writing with supporting documentation to enquiries@statementcraft.co.uk. Refunds that have been approved via written confirmation from the Director of the company will be processed within 14 business days following confirmation.

8. Client and Parent Responsibilities

The Client (and, where relevant, the Parent) agree to:
 

  • Attend Sessions on time and be prepared with any requested drafts or materials in advance;

  • Respond to feedback or enquiries in a timely manner

  • Provide accurate information relevant to the personal statement and application process;

  • Engage honestly and constructively with feedback;

  • Treat tutors and mentors with courtesy and respect; and

  • Ensure a stable internet connection and suitable device for online Sessions.

9. No Guarantee of Outcome

9.1 While we will use reasonable skill and care in providing the Services, Statement Craft does not guarantee any particular outcome, including but not limited to an offer of a place at any university, a particular grade or classification, or any specific improvement in the Client's personal statement.
 

9.2 Admissions decisions are made solely by universities and are based on a wide range of factors outside our control, including academic results, personal statements, references, interviews, and admissions criteria that may change from year to year and can differ from university to university as well as the degree that is being applied to.

10. Intellectual Property

10.1 Any Materials we create and share as part of our Services (for example, guides, templates, and worksheets) remain our intellectual property and are provided for the Client's personal use only. They may not be reproduced, resold, or shared with third parties without our written consent.
 

10.2 The Client retains full ownership of their own personal statement drafts and any personal content they share with us.

11. Confidentiality and Data Protection

11.1 We treat all information shared by Clients and Parents, including personal statement drafts, as confidential and will not share it with third parties except where necessary to deliver the Services, where required by law, or with consent.

11.2 We process personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. Details of what data we collect, how we use it, and your rights are set out in our separate Privacy Policy, available at [website link].

11.3 Session recordings, where made, are used solely for quality assurance or dispute resolution purposes and are stored securely and deleted after 12 months, unless a longer period is required by law.

12. Communication

12.1 Sessions are conducted via Microsoft Teams and written feedback is provided via either email or a shared document platform.

 

12.2 We aim to respond to messages within 5 working days. Response times may be longer during weekends, holidays, and peak application periods (typically July to October).

13. Limitation of Liability & Indemnification

13.1 Statement Craft’s liability for any claims, damages, losses, or grievances arising from or related to the enrolment or participation in any mentoring Session, or through the utilisation of any Services, shall not exceed the total fees paid for the Services giving rise to the claim. This limitation applies to all claims, regardless of their nature or legal basis, whether in contract, tort, breach of statutory duty or otherwise.

 

13.2 We shall not be liable for any indirect or consequential loss, including loss of a university place or opportunity, arising from the Client's use of, or reliance on, our feedback or guidance. Statement Craft shall also not be held liable for indirect, incidental, special, consequential, or punitive damages. This includes, but is not limited to, the loss of profits, data, business, goodwill, or anticipated savings. This exclusion applies irrespective of whether such damages were foreseeable and even if Statement Craft had been advised of the possibility of such damages.

13.3 Clients agree to indemnify and hold harmless Statement Craft and its tutors and staff from any claims, liabilities or expenses arising from their use of our services, including legal fees. This enables us to protect Statement Craft and its staff from legal actions that may arise due to a Client’s actions or conduct.

 

13.4 In incidences where exceptional refunds are granted (Section 7.2), the liability will strictly be limited to the refunded amount only. Statement Craft Ltd shall not be liable for any indirect losses such as missed opportunities or additional costs incurred by the Client.

14. Complaints

14.1 If you are unhappy with any aspect of our Services, please contact us at enquiries@statementcraft.co.uk with details of your concern in writing. We aim to acknowledge complaints within 5 working days and to resolve them fairly and promptly.

15. Termination

15.1 Either party may terminate an ongoing arrangement for Services by giving written notice. Clauses 5 (Academic Integrity), 10 (Intellectual Property), 11 (Confidentiality and Data Protection), and 13 (Limitation of Liability & Indemnification) shall survive termination.

15.2 We reserve the right to suspend or terminate Services immediately, without refund, in cases of abusive behaviour, dishonesty, or breach of these Terms.

16. Force Majeure

16.1 We shall not be liable for any failure or delay in performing our obligations where such failure or delay results from events outside our reasonable control, including but not limited to power or internet outages, illness, earthquakes, floods, acts of terrorism, public health emergencies such as pandemics, significant government actions such as new regulations or orders, or any other unforeseen circumstances.

 

16.2 In exceptional circumstances such as tutor unavailability or operational disruptions we reserve the right to:

  1. Substitute tutors by allocating an alternative tutor of equivalent experience

  2. Reschedule sessions by adjusting timelines to accommodate unforeseen disruptions

  3. Provide equivalent services by offering alternative resources or solutions where necessary

In the case of these events, Clients will be notified promptly, and every effort will be made to minimise disruption.

17. Changes to These Terms

17.1 We may update these Terms from time to time. The version in effect at the time of booking will apply to that booking. Any material changes affecting an ongoing package will be communicated to the Booking Contact in advance if there are outstanding Sessions.

17.2 Updates to these Terms are immediately in effect at the time of the update.

18. Governing Law

These Terms are governed by the laws of England and Wales, and any disputes shall be subject to the exclusive

jurisdiction of the courts of England and Wales.
